About The Role
- The Asset Officer is responsible for managing the lifecycle of organizational assets, ensuring their efficient use, maintenance, and documentation.
- The role includes asset tracking, audits, repair/maintenance coordination, compliance with regulations, and facilitating asset disposals or replacements as required.
Key Responsibilities
Asset Management
- Maintain an up-to-date inventory of all company assets, including fixed and low-value assets
- Ensure proper tagging and labeling of all assets for easy identification and tracking
- Coordinate asset acquisition, allocation, and transfer between departments or locations
- Monitor the utilization of assets to ensure optimal use and minimize downtime
Auditing and Documentation
- Conduct regular asset audits to verify the location, condition, and accuracy of inventory records
- Maintain accurate and comprehensive records of asset transactions (acquisition, transfer, maintenance, and disposal)
- Prepare detailed reports on asset condition, depreciation, and recommendations for replacements or disposals
Maintenance and Repairs
- Schedule and oversee the maintenance and repair of assets to ensure their longevity
- Collaborate with vendors and service providers for timely repair and maintenance work
- Develop and implement preventive maintenance schedules to reduce unexpected failures
Disposal and Replacement
- Assess assets nearing the end of their useful life and recommend disposal or replacement plans
- Coordinate the safe and compliant disposal of obsolete or damaged assets, adhering to organizational and environmental standards
- Conduct cost-benefit analyses to support decisions regarding asset disposal or replacement
Compliance and Risk Management
- Ensure compliance with organizational policies, industry standards, and government regulations related to asset management
- Implement strategies to minimize asset loss, theft, or damage
- Collaborate with internal and external auditors during asset audits and inspections
Reporting and Analysis
- Generate periodic reports on asset performance, utilization, and financial impact
- Analyze asset trends to identify opportunities for cost savings or process improvements
- Assist in budgeting for asset acquisition, maintenance, and replacement
Qualifications And Requirements
Education:
- Bachelor’s degree in Business Administration, Accounting, Management, Mathematics, Statistics or any related field
Experience:
- 2+ years of experience in asset, inventory management or a related field.
Technical Skills:
- Proficiency in asset management software and tools (e.g., SAP, Oracle, or other ERP systems)
- Strong knowledge of Microsoft Excel for reporting and data analysis
- Familiarity with accounting principles, depreciation methods, and asset lifecycle management
Soft Skills:
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Attention to detail and analytical thinking
Knowledge:
- Understanding of asset tracking systems and inventory control practices
- Awareness of environmental and safety regulations related to asset disposal
