About The Opportunity
- The purpose of this role is to have a a meticulous and detail-oriented Documentation Officer to join our team.
- The Documentation Officer will be responsible for handling export documentation processes, ensuring accuracy, completeness, and compliance with international trade regulations.
Key Responsibilities
Export Documentation Management:
- Prepare and manage all export documentation, including shipping invoices, packing lists, bills of lading, certificates of origin, and other required export documents.
- Verify the accuracy and completeness of export documents to ensure compliance with regulatory requirements and customer specifications.
- Coordinate with internal departments and external stakeholders to gather necessary information for documentation purposes.
- Maintain organized records of all export-related documents for easy retrieval and reference.
Customs Clearance Support:
- Liaise with customs authorities and other regulatory agencies to ensure timely clearance of export shipments.
- Assist in resolving any documentation-related issues or discrepancies encountered during the customs clearance process.
Customer Communication:
- Communicate effectively with customers regarding documentation requirements, shipment status updates, and any other export-related inquiries.
- Provide assistance and guidance to customers on export documentation procedures and regulatory compliance.
Compliance and Regulatory Adherence:
- Stay informed about changes in export regulations, trade laws, and documentation requirements to ensure adherence to compliance standards.
- Implement best practices for export documentation management to minimize errors and mitigate compliance risks.
Required Skills/Abilities
- Excellent communication and interpersonal skills, with the ability to interact professionally with customers and regulatory authorities.
- Proficiency in relevant computer applications and documentation software.
- Ability to work effectively in a fast-paced environment and prioritize tasks to meet deadlines.
Education and Experience:
- Bachelor’s degree in Business Administration, Logistics, International Trade, or related field.
- Proven experience in export documentation management within the logistics or shipping industry is a must.
- In-depth knowledge of export documentation requirements, international trade regulations, and customs procedures.
- Strong attention to detail and accuracy in document preparation and verification.
- Minimum of 4 years of experience is a must.
