Executive Assistant to the MD
Job Description
- We are actively seeking a qualified candidate for the position of Executive Assistant to the MD/CEO. The incumbent in this role will play a crucial part in supporting the MD/CEO by understanding the organisation’s aims and objectives. Responsibilities include optimising the MD/CEO’s time through involvement in diverse projects, managing secretarial duties, and handling administrative tasks.
- As the primary point of contact for both internal and external parties, the EA must demonstrate exceptional discretion and maintain confidentiality to excel in this role.
Main Responsibilities
- Manage and organise the MD/CEO’s schedule, appointments, and meetings.
- Maintaining MD/CEO’s planner & Diary (outlook experience essential)
- Maintaining MD/CEO’s travel log
- Coordinate and arrange travel itineraries, accommodations, and logistics.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as a liaison between the MD/CEO and internal/external stakeholders.
- Conduct research, compile data, and prepare reports as needed.
- Handle confidential information with discretion and maintain confidentiality.
- Assist in the coordination and execution of special projects and events.
- Anticipate needs and proactively address issues to ensure smooth operations.
- Manage communication channels and filter incoming requests for the MD/CEO’s attention.
- Prioritise tasks and deadlines to ensure effective time management.
- Taking Minutes at various Management Meetings
- Ad hoc paperwork & duties
- Organising Corporate & staff events
Educational Qualifications
- A Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field is essential. Individuals from diverse disciplines are encouraged to apply, provided they possess a minimum of two years of relevant experience in a similar role.
Technical & Essential Skills:
- Knowledge and experience with complex travel and flight itineraries, particularly international travel/hotel bookings
- Experience of working for Directors/Senior Management
- Excellent Diary Management with the ability to pre-empt and look ahead at all times
- Proficient in Microsoft Office Suite and other relevant software.
Interpersonal Skills:
- Proven experience as a personal assistant or executive assistant.
- Ability to multitask and experience of dealing with a demanding role and high-level workload
- Ability to prioritise work and manage time effectively and be proactive
- Excellent Organisational skills
- Communication skills – the ability to communicate well at all levels
- Ability to adapt to a fast-paced and dynamic work environment.
- Ability to work independently and take initiative.
- Exceptional attention to detail and accuracy.
- Strong problem-solving skills and resourcefulness.
- Ability to maintain a high level of discretion and professionalism
