Job Description
A reputable Law Firm in Abuja is recruiting a smart and committed Secretary to help handle a variety of administrative tasks and ensure smooth office operations.
Key Responsibilities:
- Receive and screen phone calls and redirect them where appropriate.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
- Type, and format all letters, court processes, and other court documents as may be required.
- Prepare the cause list for each week.
- Prepare the firm’s conference room for meetings and serve refreshments as may be requested.
- Handle confidential documents for the Principal Counsel ensuring they remain secure.
- Collate and compile the firm’s client list.
- Ensure that the reception area is tidy for entertaining visitors.
- Request for, purchase and take inventory of all office supplies.
- Update the inventory book and review the same daily to ensure all items are up to the approved stock level.
- Distribute and monitor stationeries issued to staff to ensure it is adequately utilized.
- Prepare and input requisitions for the purchase of office supplies on the payment approval platform for approvals.
- Ensure the attendance registers and movement record books are well lined out for use and are in a good state and well kept.
- Compile the attendance report for each day and send out a report to Management on the same daily.
- Perform all other clerical and administrative functions as may be necessary.
- Full compliance with the core values of the firm.
Job Requirements:
- Candidate must have at least an OND.
- Must have prior experience as a secretary and have experience in customer service and communication.
- Must be organized, time-conscious, and proactive.
- Must exhibit excellent use of Microsoft Office tools.
- Must have good interpersonal and team-playing skills.
- Excellent oral and written communication skills.
